GST & Tax: a screen-by-screen guide

Every page of the GST & Tax module in DesiERP, what it is for, how to use it, and what to enter in each field.

The GST & Tax module turns the sales invoices, purchase bills and expenses you already enter into GST returns, input tax credit checks, e-invoices, e-way bills and TDS / TCS registers. Nothing here needs separate data entry: each page reads your books and shows what goes into the return, what to fix first and what is still pending.

Returns

GSTR-1, GSTR-3B and GSTR-9 pages show your outward supplies, monthly tax summary and annual figures as they stand in your books. GSTR-1 and GSTR-3B can also produce a file in the format the GST portal's offline tool reads.

GSTR-1

Menu path: /gst/gstr1

Shows every sales invoice with its taxable value and CGST, SGST and IGST split, sorted into B2B and B2C, ready for filing GSTR-1. Used by the accountant or owner who files outward supplies each month.

How to use it

  1. Open GST & Tax > GSTR-1. Every sales invoice appears, newest first, with totals in the cards at the top.
  2. Use the quick filters (B2B, B2C, Inter-state, Within state) and the period buttons (This month, This quarter, This year) to narrow the list.
  3. Search by invoice number, customer, GSTIN or place of supply, or open Advanced Filters for date and amount ranges.
  4. Press Portal file, choose the return month and press Check to see what the file will hold and any problems to fix first.
  5. Fix any warnings (for example a customer with no state or a product with no HSN), then press Download file.
  6. On the GST portal, go to Returns > GSTR-1 > Prepare offline > Upload and upload the file. Check the figures the portal tool shows against this page before you file.

GSTR-3BOpens the GSTR-3B page (shown if you can read it).

Good to know

Check warns when your own GSTIN is missing or not valid on the Company Profile; the portal rejects the file without it.

A customer with no state or GSTIN is treated as being in your own state for place of supply, and Check tells you which customers these are.

A product with no HSN code is left out of the HSN summary table of the file, so fill HSN codes on products before filing.

If there are no bills in the month, Check warns that the file would be empty.

GSTR-3B

Menu path: /gst/gstr3b

Shows, period by period, your outward taxable supplies, the tax payable, the input tax credit available and the balance payable for GSTR-3B. Used to prepare and cross-check the monthly summary return.

How to use it

  1. Open GST & Tax > GSTR-3B. Each row is one return period with its outward supplies, tax, input credit and balance payable.
  2. Use the quick filters (Filed, Not filed, Payable) or pick a period to focus on one month.

Good to know

Input credit in the file comes from purchase bills of registered suppliers in that month. If you claim credit from GSTR-2B instead, enter it on the portal.

Reverse charge, imports, ineligible credit and inward nil-rated supplies are not tracked in the file and go as zero; fill them on the portal if you have any.

If credit notes in a month are more than that month's sales, 3.1(a) is shown as zero and the excess is to be adjusted on the portal in a later month.

GSTR-9

Menu path: /gst/gstr9

Shows turnover, input credit and tax paid consolidated for each financial year, as a base for the GSTR-9 annual return.

How to use it

Compares the month's GSTR-2B downloaded from the GST portal with your purchase bills, so you can claim the credit your suppliers have filed and chase the bills they have not.

How to use it

  1. On the GST portal, go to Returns > GSTR-2B for the month > Download > Generate JSON file.
  2. In DesiERP press Upload GSTR-2B, drop or choose the JSON file and press Upload. Choose the Return month only if the file does not say which month it is.
  3. Read the upload result (suppliers, invoices, notes, taxable value, tax and any warnings), then press Open the month.
  4. Pick a month from the GSTR-2B month bar. The cards show how many documents are Matched, Mismatched, Not in 2B and Only in 2B.
  5. Work through the list with the quick filters. Each row's 'What to do' column says what to do next.
  6. For a document that is Only in 2B but is really a bill you entered under another number, press Link to a bill, choose the bill and press Link.
  7. Claim matched credit. For mismatches, claim what the portal shows and ask the supplier to amend; for bills Not in 2B, remind the supplier to file.

ITC Summary / GSTR-3BOpen those pages.

Good to know

A 2B invoice matches a bill when the supplier GSTIN and the invoice number agree. The bill's supplier invoice reference is used first, then the bill number; case, spaces, punctuation and leading zeros are ignored.

Matched means taxable value and tax agree within ₹1. Otherwise the row is Mismatch and 'What to do' says by how much the taxable value or tax differs.

Not in 2B lists bills from registered suppliers dated in the month that no uploaded GSTR-2B of any month carries, so a bill filed late by the supplier is not counted as missing. Cancelled bills are left out.

Credit and debit notes are listed with their effect on your credit but are not matched to bills. Rows the portal marks as credit not available are flagged in 'What to do'.

e-Invoice & e-Way Bill

These pages report sales invoices to the Invoice Registration Portal (IRP) to get an IRN, and raise e-way bills for goods in transit. Each document is checked on a review screen before anything is sent, and the portal's reply is shown on the same screen.

e-Invoice

Menu path: /gst/einvoice

Lists sales invoices with their IRN, acknowledgement number and date, and shows which are still to be reported to the IRP. From here you open each invoice's 'Check before reporting' screen or report several B2B invoices in one go.

How to use it

  1. Complete the e-Invoice & e-Way Bill Setup under Masters > Business Rules first; without it nothing can be reported.
  2. Open GST & Tax > e-Invoice. Use the quick filters (IRN generated, Pending IRN, B2B only) and the period buttons to find invoices.
  3. Click an invoice number, or 'Not reported — check and report', to open the Check before reporting screen.
  4. On that screen read the Checks card. If anything is listed, fix it in the Company profile, the invoice, the customer or the product (HSN, unit) using the links given, then press Refresh & save draft.
  5. Press Validate e-Invoice and, if you wish, View payload to see exactly what will be sent.
  6. Press Generate IRN, read the confirmation (live or sandbox, invoice, customer, total, provider) and press Generate IRN again to report it.
  7. To report many B2B invoices together, press Bulk IRN on the list, keep the invoices you want ticked and press Report to the IRP.

Good to know

Needs the e-Invoice & e-Way Bill Setup to be completed in Settings. Without a usable provider setup the screen still lets you check the invoice, but generating is declined. Whether the portal accepts an invoice is decided by the portal.

The banner on the review screen says whether the setup is Sandbox (test numbers with no legal effect) or Live (filed for real).

Once an IRN is issued it can only be cancelled within 24 hours, and that invoice number cannot be used again. After 24 hours, raise a credit note.

If the portal refuses an invoice, its reason is shown on the review screen under 'Why the portal refused it last time', and the credit used for that attempt is given back.

e-Way Bill

Menu path: /gst/eway

Lists e-way bills for goods in transit with route, distance, transporter, vehicle and validity, and opens the 'Check before generating' screen where you give transport details and generate, update or cancel an e-way bill.

How to use it

  1. Complete the e-Invoice & e-Way Bill Setup under Masters > Business Rules first.
  2. Open GST & Tax > e-Way Bill. Use the quick filters (Active, Expired, Cancelled, Outward, Inward) or the transporter lookup.
  3. Click 'Not generated — check and generate' (or the e-way number) to open the Check before generating screen for that document.
  4. In the Transport card, choose the Mode and enter the Distance, plus the vehicle number or transporter GSTIN for road, or the transport document number for rail, air and ship.
  5. Press Apply & re-check to see the updated checks, then Save draft if you want to keep the details.

TDS / TCS

Menu path: /gst/tds-tcs

A quarter-wise register of TDS deducted on supplier bills and expenses, TCS collected on customer invoices, and TDS your customers held back from you, with PAN and section. From here you record the deposit (challan) for a quarter, print Form 16A / 27D style certificates and set rates on parties.

How to use it

  1. First open Rates on parties and set the PAN, section and rate on each supplier you deduct TDS from and each customer you collect TCS from, then press Save on that row.
  2. New bills, expense vouchers and invoices to those parties then carry the tax by themselves; the section and rate can also be changed on a single document.
  3. Open GST & Tax > TDS / TCS and choose the tab (TDS on bills & expenses, TCS on invoices, TDS deducted by customers) and the quarter.
  4. Check the register, especially rows marked 'no PAN'.
  5. When you pay the government, press Deposit TDS (or TCS) for this quarter, enter the challan no. (CIN), paid on date, paid from and bank reference, and press Mark deposited.

Good to know

TDS is worked out on a bill's taxable value, not on GST, and that part of the bill is settled at source, so the supplier's balance is the net. TCS is added to the invoice value and paid by the customer.

Rates set on parties apply to bills and invoices made from then on; existing documents are not changed.

When a customer holds back TDS from a payment, record it on the receipt (Sales > Receive Payment) as a line with mode TDS. It settles the invoice and appears on the third tab as a credit to claim; check it against Form 26AS.

The page notes the due dates: TDS by the 7th of the next month (30 April for March), and quarterly returns 26Q / 27EQ.
