Masters: Parties & Items: a screen-by-screen guide

Every page of the Masters: Parties & Items module in DesiERP, what it is for, how to use it, and what to enter in each field.

Masters hold the records every transaction uses again and again: your customers and suppliers, the groups they belong to, and your items with their categories, brands, HSN codes, units and special price lists. Set these up once and the sales, purchase and stock screens pick them up from here.

EmailtextEmail address, checked for a valid format.

Address Line 2textArea or landmark. Filled for you when you pick an Area / Locality.
StreettextStreet name.
PincodeRequiredtext6-digit PIN code. When a valid PIN is entered, the app looks it up with India Post, fills City, District and State, lists the post offices in Area / Locality, and shows what the PIN resolved to (or why it did not).
Area / LocalitydropdownEnabled after a PIN code is entered. Picking a post office fills Address Line 2.
CityRequiredtextFilled from the PIN code; can be corrected.
DistricttextFilled from the PIN code; can be corrected.
StateRequiredtextFilled from the PIN code; can be corrected.
CountrytextFixed to India; cannot be changed.
Accounts Settings

Payment TermsdropdownA term from the payment terms master, or Company default. Sets the due date on this customer's invoices and orders.
Price ListdropdownA list from Masters > Price Lists. Invoices, quotations and orders for this customer take line prices from it; items the list does not name keep the catalogue price. Leave as catalogue prices to use normal prices (or the list of the customer's category).
SalespersondropdownOne of your users. This customer's quotations, orders and invoices are credited to them unless the document names someone else.
Billing CurrencydropdownINR by default. Choosing another currency bills the customer in it and switches that currency on for your company.

PANtext10-character PAN in the form AAAAA9999A. A wrong format is refused on save.
TCS SectiondropdownThe income tax section under which you collect TCS from this customer, or None. Choosing a section fills its usual rate in TCS Rate %.
TCS Rate %numberTCS percentage, 0 to 100. Can be typed over (for example for a lower-rate certificate). With a section and rate, every invoice to this customer carries TCS on its value; it can be changed on a single invoice. Without a PAN the law doubles the rate (5% at the least).
Additional detailstextExtra fields your company has added for customers, if any. Their names, types and whether they are required come from your custom field setup.
NotestextareaInternal notes such as delivery instructions or payment behaviour. The first words show under the customer's name in the list.

Good to know

For a named item, the row with the highest From quantity not above the line quantity is used: its list price, or the catalogue price less its discount.

A customer's own price list takes priority over the list of their category.

To keep a list for later, untick Active instead of deleting it.

Try it on your own business.
