Business Setup: a screen-by-screen guide

Every page of the Business Setup module in DesiERP, what it is for, how to use it, and what to enter in each field.

The setup records the rest of the app relies on: your branches and stores, your accounts and bank accounts, payment terms and currencies, manufacturing recipes, document numbering and sales pipelines. Set these up once when you start, and change them as the business grows.

5 sections13 screens209 fields explained

Company structure

Where you do business and where goods are kept. Branches carry the address, GSTIN and logo printed on documents; warehouses belong to branches; locators mark the aisles, racks and bins inside a warehouse.

Branches

Menu path: /multi-branch/list

Lists every location the business trades from, with each branch's revenue, outstanding dues, orders, customers and the users who work there. Owners and administrators use it to add a branch, set its address and GST details, and switch the branch they are working in.

How to use it

  1. Open Masters > Branches. The cards at the top show the number of branches, how many are active, total revenue, outstanding, orders and user assignments.
  2. Use the search box or the quick filters (Active, Inactive, With dues, a state) to find a branch.
  3. Click New Branch to open the branch form.
  4. On the Branch tab, enter the branch name and, if you like, a code, type and logo.
  5. On Contact & Address, type the PIN code first: the state, city and country fill in by themselves. Then add the address lines and contact details.
  6. On GST, tick 'Use the company's GSTIN and PAN' for a branch in the company's own state, or untick it and enter the branch's own GSTIN for a branch in another state.
  7. Click Save Branch. The branch's view page opens.
  8. From the row menu (three dots) you can open, edit, start working in the branch, or deactivate or delete it.

It is greyed out until the company has a GSTIN on Company Profile, and it is refused for a branch in another state.
Branch GSTINtextThe branch's own 15-character GSTIN, used when the box above is not ticked. A branch always uses the company's PAN. The GST state code is worked out from the GSTIN, or from the branch's state when there is no GSTIN.

Bank details for a branch are added on Bank Accounts by choosing the branch there.

Who may work in a branch is set under Settings > Users.

Warehouses

Menu path: /inventory/warehouses

  2. Click New Warehouse.

Good to know

GST details of a warehouse come from its branch.

Items and Stock value show the stock of the warehouse's branch at cost price, so warehouses of the same branch show the same figures.

A branch that has no warehouse gets one automatically when the branch is saved.

Locators

Menu path: /inventory/locators

Records the places inside a warehouse, such as an aisle, a rack or a bin, so the team knows where goods are put away and where to find them. Store keepers and warehouse staff use it; stock totals are not kept per locator.

How to use it

  1. Make sure at least one active warehouse exists; a locator always sits inside one.
  2. Open Masters > Locators and click New Locator.
  3. Choose the warehouse and enter the locator name.
  4. Fill Aisle, Rack and Bin; the position (for example A-01-03) is shown as you type. Leave Code blank for an automatic code.

The same code, such as A-01-03, can be used in different warehouses.

Accounts and banking

Your ledger accounts and how postings find them. The chart of accounts is a tree of headings and posting accounts, default accounts say which account each kind of posting uses, and bank accounts record where the business keeps its money.

Chart of Accounts

Menu path: /accounts/chart

Shows all ledger accounts as a tree. Summary accounts are headings that add up the accounts under them; documents and journals post only to posting accounts. Accountants use it to add, rename, switch off or import accounts.

How to use it

  1. Open Masters > Chart of Accounts. The cards show posting accounts, summary accounts, how many default accounts are mapped, and accounts switched off.
  2. Use the search box or the type buttons (Assets, Liabilities, Equity, Income, Expenses) to find an account; use Expand all or Collapse to groups to open or close the tree.
  3. Click New Account, or choose Add sub-account from a heading's row menu.
  4. Pick the heading it sits under, enter the code and account name, and choose whether it is a posting account or a summary account.
  5. Click Save Account.
  6. To load or rebuild the standard chart, use Default chart; to bring in your own chart, use Import with the Excel or CSV template.

Default Accounts

Menu path: /accounts/defaults

Sets the ledger account each kind of posting uses when nothing more specific is set: receivables, payables, revenue, stock, cost of goods sold, each GST, payroll and the rest. Products, categories, customer and vendor groups, warehouses and bank accounts can name their own; these are the fallback.

How to use it

  1. Open Masters > Default Accounts. A notice shows how many default accounts are not mapped yet.
  2. Go through the groups: Cash and bank, Customers, Vendors, Products and inventory, Taxes, Payroll, Other income and expense, Equity and period end.
  3. For each default account, pick the account to use from the list. Only posting accounts of the right type are offered.

Terms and currencies

When customers and suppliers are due to pay, and in which currency they are billed. Payment terms work out due dates and early discounts; currencies keep exchange rates and value foreign dues.

Payment Terms

Menu path: /settings/payment-terms

Defines when money falls due and what paying early is worth: net days, an early-payment discount and an advance. Documents point to a term, so the due date is worked out from it.

How to use it

  1. Open Masters > Payment Terms. The cards show the number of terms, those in use, those due immediately and those with an early discount.
  2. Click New Payment Term.
  3. Enter a name and the net days; leave Code blank for an automatic code.
  4. Add an advance percentage, or a discount window and discount percentage, if the term has them. The blue box shows how the term will read.

Currencies & Rates

Menu path: /settings/currencies

The books stay in rupees. Here you switch on the foreign currencies you deal in, keep their exchange rates, and set which customers and suppliers are billed in which currency; their invoices and bills then show the foreign amount beside the rupee total. It also revalues open foreign-currency dues at a period end.

How to use it

  1. Open Masters > Currencies & Rates and find the currency in the Currencies table.
  2. Click Rate on its row (or Enter a rate at the top), enter the rupees per unit and the date, and save. Entering a rate switches the currency on.
  3. Or click Get today's rates to fill in today's market rate for every currency that is switched on.
  4. In the Parties table, pick the currency for each customer or supplier billed in a foreign currency and click Save.

A day can be revalued only once; void the earlier revaluation to do it again.

Manufacturing setup

What you make and how. A bill of materials lists the components and operations of a product; work centres and operations give the routing its times and costs.

Bill of Materials

Menu path: /inventory/bom

Records what each product you make is made of and which operations it goes through, so you know what a batch costs in material, labour and overheads. A production order takes the recipe, scales it to the quantity and moves the stock when the run is done.

How to use it

  1. Open Masters > Bill of Materials and click New BOM.
  2. Pick the product that is made, give the BOM a name and enter how many units this recipe makes.
  3. Add each component with its quantity per batch and scrap %. Stock and cost are shown for each line.
  4. Optionally add the operations (routing) in order, with their work centre and times.
  5. Add any other labour or overheads per batch. The cost per unit made is worked out as you go.
  6. Click Save BOM.
  7. Use the sitemap button on a row to see what a quantity needs level by level and what is short, or Make to raise a production order.

Numbering and pipelines

How documents are numbered and how sales leads move. Document types set the numbering series and Tally voucher type of each transaction; pipelines set the stages a lead goes through.

Document Types

Menu path: /settings/document-types

Defines what each transaction is, the Tally voucher type it is exported under, and the numbering series its document numbers come from. You can have several types on one kind of transaction, for example 'Sales' and 'Sales - Export', each with its own series.

How to use it

  1. Open Masters > Document Types to see every type with its base type, Tally voucher type, next number and number of documents.
  2. Click New Document Type.
  3. Choose the base type (what kind of transaction it is). The name and prefix are suggested from it.
